Last updated: October 25, 2026

These terms set out the agreement between clinics and PsychSuite: what the service does, what each side is responsible for, and how the relationship ends.

  • Connected accounts are read-only
  • Patient records handled under a separate BAA
  • Governed by Tennessee law
  • Material changes are notified

1. The service

PsychSuite provides a practice management, patient care and growth platform for mental health clinics. These Terms of Service govern your use of the PsychSuite website and platform.

2. Eligibility

The service is for businesses, such as clinics and the agencies they work with. Individual users must be at least 18 years old and authorized to act for their organization.

3. Accounts and authorized users

You are responsible for keeping your login credentials secure and for all activity under your account. Clinics decide which team members and agencies can access their account and may remove that access at any time.

4. Third-party integrations

  • Connecting Google, Meta or other third-party accounts is optional.
  • You must be authorized to connect any account you link.
  • Your use of those services remains subject to Google's and Meta's own terms and policies.
  • PsychSuite accesses connected accounts read-only, for reporting.
  • You can disconnect any integration at any time. See How to delete your data and our Privacy Policy.

5. HIPAA

Protected health information is handled under a separate Business Associate Agreement (BAA) between PsychSuite and the clinic. See HIPAA & BAA.

6. Acceptable use and marketing compliance

You agree not to misuse the service, including by attempting unauthorized access, interfering with its operation, uploading malicious code, violating others' rights, or using it for unlawful purposes.

Clinics are responsible for their own advertising content and for complying with platform health-advertising rules, including LegitScript certification where required.

7. Fees and billing

Paid plans are billed according to your order form or subscription. Fees are non-refundable except where required by law or stated in your agreement.

8. Termination, data export and deletion

Either party may end the service as described in your agreement. Before termination you may request an export of your data. After termination we delete your data as described in our Privacy Policy, except records we must keep by law or under the BAA.

9. Intellectual property

PsychSuite and its licensors own the platform, software and branding. You keep ownership of the data you put into the service and give us permission to process it only to provide the service.

10. Disclaimers

The service is provided "as is" and "as available." PsychSuite does not provide medical advice, and clinicians remain responsible for all clinical decisions.

11. Limitation of liability

To the extent permitted by law, PsychSuite is not liable for indirect, incidental, special or consequential damages, and its total liability is limited to the fees you paid in the 12 months before the claim.

12. Indemnification

You agree to defend and indemnify PsychSuite against claims arising from your content, your advertising, or your breach of these terms.

13. Governing law

These terms are governed by the laws of the State of Tennessee, without regard to its conflict-of-law rules. Any dispute arising out of or relating to these terms will be resolved in the state or federal courts located in Knox County, Tennessee, and both parties consent to jurisdiction and venue there.

14. Changes to these terms

We may update these terms. We will post the new version here with a new "Last updated" date and notify account holders of material changes.
